You can filter or customize your reports before exporting/downloading them to a spreadsheet. This comes in handy if you want to:

  1. Filter or sort responses by certain parameters (i.e. specific answers to questions, dates, custom tags, etc.)
  2. Specify which columns should appear on your reports, in order to eliminate superfluous information
  3. Exclude from reports or permanently delete specific individual responses
  4. Control which specific data is viewable by your trusted 3rd parties, such as your affiliates or sponsors

In this article we will discuss:

  1. How to sort or filter responses
  2. How to exclude, include or delete specific rows
  3. How to generate a report
  4. How to filter data shared with 3rd parties

How to Sort and Filter Responses

You will find Response Filtering in the Data & Analytics tab:

The “Columns” button allows you to hide/display specific columns in your reports:

You can sort responses alphabetically or numerically using the up/down arrows to the right of each column header. Below the column header, you can type in specific words/dates/values to include or exclude all related responses from the report:

In the bottom right corner of the table you will find the number of responses that meet your filtering criteria, compared to the total number of responses:

How to Exclude, Include or Delete Specific Responses

In the table, you can select one or more specific rows by simply clicking on a row. To exclude, include or delete a row or multiple rows, right-click on what you’ve selected and choose an action:

How to Generate a Report

The “Export” button generates the report in an Excel file which you can download. Reports with under 10,000 individual responses should generate within a few seconds, larger numbers of responses may take up to a few minutes to be ready for download:

Note: Filtering applies only to Results, Registration, and Response Details reports. This function does not apply to Action and Feedback reports since these reports summarize specific information such as various “actions” people took after they completed the quiz or any feedback they provided you.

Sharing Filtered Responses with 3rd Parties

You can also allow your trusted 3rd parties to filter responses on their own. Scroll down the page and check the “Share Results With 3rd Parties” checkbox (read more about 3rd parties sharing here.)

It might be that you want to share results that you have filtered, instead of allowing your 3rd parties to filter their own results. In that case, you’ll need to do three things:

  1. Create your filters
  2. ‘Export’ a report with your filters (this has the effect of saving your filters)
  3. Ensure that ‘Allow 3rd Parties to Filter Results’ is NOT checked
